Our client is a world leader in the crude oil industry and natural gas reserves, highly respected and extremely prestigious. They are looking for an Executive Services Corporate Planner to join a dynamic, multicultural and multilingual organisation with offices in the West End.

Responsibilities will include but not be limited to:

• Coordinating logistics for Corporate, Executive and General Management under the supervision of the Executive Services Manager
• Coordinating planning and logistics for business trips, conferences and large meetings, ensuring that all arrangements are complete to acceptable standards
• Assisting in the preparation and organisation of events and board meetings and ensuring accurate follow-up up on operational details throughout and after the meeting
• Ensuring a smooth work flow by keeping track of deadlines of incoming requests
• Coordinating Unit appointment calendar, resolving schedule conflicts, and scheduling meetings as directed
• Maintaining organised filing system for the executive's correspondence, files and other records
• Verifying invoices and processing accounts, as required
• Travelling to support events such as board meetings, event or logistic support to a particular operation: this is usually pre planned but there must be flexibility if required to support an operation at little notice
• Arranging and maintaining inventory of corporate gifts, as required
• Preparing Cultural Programs and Restaurant Lists and working on tour programs to support Corporate Management as and when required
• Coaching new hires in office procedures and day to day work methodology, as required
• Performing other miscellaneous duties as directed by the Supervisor or Senior Team Member

Ideal Candidate Profile

• Superb communication skills, both written and spoken
• Bachelor’s degree or equivalent in hospitality or event management
• Excellent organisational skills, efficient work ability, flexible attitude, human relations skills, tact, discretion and good judgment and attention to detail
• Excellent experience in organising events with an ability to plan and prioritize work deadline
• Highly motivated, numerate, and accustomed to working with tight deadlines with a positive approach to problem solving
• Flexible to travel to support events/operations, as required

This is initially a one year contract role, renewable, and moves to permanent employment after two years service. It offers an annual salary of up to £35,000, dependent on qualifications and experience, as well as paid overtime and excellent benefits.
