PA/Admin Assistant

Responsibilities:

  • Organising and maintaining diaries and making appointments & ensure effective time management.
  • Arrange meetings both internally & externally. 
  • Organise senior management monthly meetings and senior executive regular review meetings with CEO/COO/CCO reportables including production of documents, briefing papers, reports and presentations at least two working days prior to meetings.
  • Ensuring the senior managers are briefed and well-prepared for meetings, including production of documents in sufficient time.
  • Draft correspondence as briefed and maintain electronic filing for all reports, briefs and correspondence. 
  • Prepare agendas and ensure the provision of all requisite papers for Board and Committee meetings 
  • Screening of telephone calls, enquiries and requests, and handling them when appropriate 
  • Dealing with incoming email, faxes and post, often corresponding on behalf of their manager 
  • Arranging travel and accommodation and, occasionally, traveling with the manager to take notes or dictation at meetings or to provide general assistance during presentations. 
  • Manage small events in liaison with events manager. 
  • Provide general administrative and secretarial support to the office, including travel, meeting and room bookings, managing stationery, expenses and other related tasks when required.

  • Good communicator with excellent written, verbal and interpersonal skills, especially with the confidence to arrange high-level meetings at short-notice.
  • An organised, methodical and detailed approach to administrative duties. 
  • A pro-active, thoughtful and organised attitude to solving problems.
  • A responsible, professional manner to dealing with confidential matters.
  • An enthusiastic attitude with the ability to relate to staff at all levels of the organisation.
  • Ready and able to exercise initiative, pre-empting requests and solving issues before they become problems.
  • Ability to multi-task and able to operate effectively and efficiently in a fast-moving environment.
  • IT literate - knowledge of Microsoft Word, Excel, Access and PowerPoint
  • Good writing skills with attention to detail.
